How RentalLeak works

RentalLeak watches the clock on rented gear so a crew doesn’t roll into another day, week or month of billing by accident. This page is the tutorial, a written Quick Start, and where to get help.

Quick Start

Seven steps, start to finish

Add the rental

Record the equipment, vendor, project, cost and billing period.

Scan the agreement

Take photos or upload a PDF, then review the information RentalLeak pulled out.

Watch rollover risk

RentalLeak shows upcoming billing periods and the rentals that need attention.

Decide

KEEP means the equipment stays on rent. OFF-RENT REQUESTED means you have decided it should come off rent.

Follow up

Use Needs Follow-Up to call the vendor yourself, then record that the vendor was contacted.

Close the rental

Use RETURNED / CLOSED only when the rental is actually complete.

Review

Use reports and vendor spend to understand rental cost and exposure.

The rule that trips people up

OFF-RENT REQUESTED is internal only

It records that you have decided a rental should come off rent. It is a note to your team — nothing is sent anywhere.

RentalLeak does NOT:

  • text the vendor
  • email the vendor
  • call the vendor automatically
  • notify the vendor in any way

“Call Vendor” only opens your phone’s dialer. You place the call.

“Mark Vendor Contacted” only records that you contacted the vendor — the date, who did it, and an optional confirmation number. It is your record, not a message to the vendor.

OFF-RENT REQUESTED does not stop billing. The rental keeps accruing cost until you mark it RETURNED / CLOSED — that is the only status that stops the clock.
