Temporary jobsite services tracking
Track Temporary Jobsite Services Before They Bill Again
Rental Leak tracks temporary jobsite services — dumpsters, portable toilets, storage containers, job trailers, temporary fencing and temporary power — by job, vendor and billing cycle. Nobody forgets an excavator sitting on site. A container or a fence line is different: it is set up at mobilization, billed every cycle, and easy to forget until the invoice arrives.

Why they leak
Why site services are easy to overpay for
Nobody operates them
An idle machine gets noticed. A container or a fence line doesn’t — there’s no operator to say it’s done.
They outlast the work
Services go in at mobilization and are needed until closeout, so they’re the last things anyone thinks about returning.
They bill on long cycles
Monthly and 28-day cycles mean a missed call-off costs a whole period, often on a date nobody is watching.
Many small vendors
Waste, sanitation, storage, fencing and power often come from different local vendors, each with its own paperwork.
Hard to see by job
Without a per-project list, it’s hard to confirm that a finished site has actually been cleared.
Invoices come later
By the time the invoice shows another period, that period has already been charged.
How Rental Leak handles them
The same tracking as equipment
A temporary service is a rental like any other: add it with the vendor, the project, the rate and the billing cycle, and attach the agreement or service order if you have one. Rental Leak shows its next charge alongside your equipment, flags it when its billing cycle is about to roll over, and records the decision — KEEP, off-rent requested, or returned.
When the job is wrapping up, the project view shows every service still billing on that site, so a closeout checklist can include calling each one off. Request off-rent in Rental Leak, send the vendor an Off-Rent Notice email after confirming the recipient or call them yourself, then mark it returned once the vendor confirms the pickup. The call-off guide walks through what to record at each step.
Rental Leak tracks the recurring charge — the rate and the billing cycle. One-off fees, such as an extra haul or pump-out, aren’t a billing cycle, so they stay on the vendor’s invoice. On the Contractor and Pro plans, rental invoice reconciliation compares that invoice with the terms you confirmed and flags possible billing differences for review.
Common questions
Can Rental Leak track services that aren’t equipment?
Yes. Anything you rent from a vendor on a recurring billing cycle — containers, portable toilets, fencing, trailers, temporary power and similar services — is tracked the same way as equipment.
Which billing cycles work for site services?
Daily, weekly, 28-day and monthly cycles are supported. Rental Leak calculates the next charge from the start date and the cycle you confirm.
Does requesting off-rent stop the charges?
Not by itself. OFF-RENT REQUESTED is an internal follow-up status in Rental Leak and the rental keeps counting as billing. Charges stop when the vendor takes the service off rent; you then mark it returned.
Can I track dumpsters, portable toilets and fencing by job?
Yes. Each service is a rental with its vendor, project, rate and billing cycle, so the project view shows every site service still billing on that job, next to the rented equipment.
